1. Definitions

1.1 Ravecation: The private partnership (V.O.F.) registered in the Netherlands, offering optional travel, accommodation, and related services for music festivals.
1.2 Customer: Any natural or legal person who books services with Ravecation.
1.3 Agreement: The binding contract between Ravecation and the Customer regarding the booked services.
1.4 Services: Travel, accommodation, camping equipment, and optional festival-related services offered by Ravecation.
1.5 Festival: A music festival organized by a third party.
1.6 Festival Organizer: The official party responsible for organizing the festival.
1.7 Private Accommodation: Lodging options such as private apartments, houses, or villas, exclusively reserved for the Customer or their group.
1.8 Bus & Camp Ticket: A combined package consisting of transport and accommodation (including camping or other lodging), excluding festival tickets.
1.9 Camping Equipment: Physical goods sold by Ravecation, including tents, sleeping bags, mats, and related accessories.
1.10 Festival Ticket: An admission ticket for a Festival, issued and managed exclusively by the Festival Organizer.

2. Applicability

2.1 These Terms & Conditions apply to all services provided by Ravecation.
2.2 Ravecation acts as an independent third party and provides services separate from those offered by the Festival Organizer.
2.3 By making a booking, the Customer acknowledges that Ravecation’s services are independent of official festival services.
2.4 For bookings that include private accommodations, accommodation-specific house rules apply and form part of the Agreement.

3. Booking and Agreement

3.1 An Agreement is established once the Customer completes a booking through the website or receives written confirmation.
3.2 All bookings are binding.
3.3 The Customer must be at least 18 years old and legally competent.
3.4 Booking confirmation is sent by email. Errors must be reported within 48 hours.
3.5 For private accommodation bookings, a security deposit may be required. The amount and conditions will be specified at booking.
3.6 Product-specific cancellation rules apply as defined in Article 6.
3.7 Festival tickets, if included, are always non-refundable and non-cancellable.

4. Prices and Payment

4.1 All prices are stated in euros (€) and include VAT unless stated otherwise.
4.2 Payment may be made in full or in installments. Payment deadlines are specified at booking.
4.3 Late payment may result in cancellation in accordance with Article 6.
4.4 For private accommodations, part or all of the security deposit may be withheld in cases of damage, excessive cleaning, or breach of house rules.
4.5 Camping equipment must be paid in full prior to pickup. If cancelled more than 7 days before the event, the Customer will receive a full refund. No refunds will be provided for cancellations made within 7 days of the event.

5. Nature of Services

5.1 Ravecation provides:

  • Transport (bus, shuttle)

  • Accommodation (hostel, hotel, camping, private accommodation)

  • Camping equipment

5.2 Ravecation is not an official festival partner unless explicitly stated.
5.3 Festival tickets are only included if explicitly stated in the booking confirmation and are subject to the Festival Organizer’s terms.
5.4 The Customer is responsible for holding a valid festival ticket unless otherwise agreed.
5.5 For private accommodations, Ravecation acts as an intermediary. Customers must comply with local laws and accommodation rules.
5.6 Camping equipment is only available for pickup at the designated bus departure location. No shipping or delivery is offered.
5.7 The Customer must inspect camping equipment upon pickup. After pickup, Ravecation accepts no liability for damage, loss, or defects.
5.8 Where festival tickets are included, Ravecation acts solely as an intermediary. Festival tickets are issued and managed exclusively by the Festival Organizer and are always non-refundable through Ravecation.

6. Cancellation and Modification

6.1 Bus & Camp Tickets:
The following cancellation policy applies exclusively to Bus & Camp tickets:

  • More than 45 days before the event: 100% refund minus €5.00 reservation costs

  • Between 31 and 45 days before the event: 75% refund

  • Between 15 and 30 days before the event: 50% refund

  • Between 7 and 14 days before the event: 25% refund

  • Less than 7 days before the event: No refund

6.2 Cancellations must be submitted in writing via email.
6.3 If Ravecation cancels due to force majeure, an alternative arrangement or refund will be provided in accordance with Dutch consumer law.
6.4 If the Festival is cancelled or rescheduled, Ravecation is not responsible for resulting losses or costs. Customers must contact the Festival Organizer directly.
6.5 For private accommodations, additional cancellation terms from the accommodation provider may apply and will be communicated at booking.
6.6 Camping Equipment:
Camping equipment purchases may be cancelled free of charge up to 7 days before the event. Cancellations within 7 days of the event are final and non-refundable.
6.7 Festival Tickets:
Festival tickets are always non-refundable and non-cancellable, regardless of the cancellation date, unless explicitly stated otherwise by the Festival Organizer.

7. Customer Responsibilities

7.1 The Customer is responsible for:

  • Holding a valid festival ticket

  • Possessing valid travel documents

  • Complying with applicable laws and regulations

7.2 Ravecation is not liable if festival entry is denied due to:

  • Invalid or improperly transferred tickets

  • Identification issues

  • Safety or security decisions

  • Breaches of festival rules

7.3 Ravecation is not liable for theft or damage to personal belongings.
7.4 The Customer is liable for damages to private accommodation property.
7.5 The Customer is fully responsible for camping equipment after pickup.

8. Liability

8.1 Ravecation accepts no liability for:

  • Festival cancellations or changes

  • Third-party transport issues

  • Denial of festival entry

  • Loss or damage to property

  • Indirect damages, except in cases of gross negligence

8.2 Participation is at the Customer’s own risk. Travel and cancellation insurance is strongly recommended.

9. Complaints

9.1 Complaints must be reported on-site where possible.
9.2 Formal complaints must be submitted in writing within 14 days after the event to support@ravecation.com.
9.3 All disputes are governed by Dutch law, with the competent court in Amsterdam.

10. Privacy & Mailing List

10.1 Ravecation processes personal data in accordance with the General Data Protection Regulation (GDPR).
10.2 Personal data will only be used for communication, bookings, and emergency purposes related to the services purchased.
10.3 For private accommodations, relevant guest information (such as name, contact details, and ID verification) may be shared with the accommodation provider solely for the purpose of fulfilling the booking.

10.4 Mailing List
10.4.1 When completing a purchase through Weeztix, Ravecation receives the Customer’s first name, last name, and email address.
10.4.2 This information may be used to send service-related updates, future event announcements, promotions, or other communications from Ravecation.
10.4.3 The legal basis for this processing is legitimate interest in maintaining a relationship with Customers, unless Weeztix provides an explicit opt-in mechanism, in which case consent applies.
10.4.4 Customers may unsubscribe from the mailing list at any time using the link provided in each email. Unsubscribing does not affect the Customer’s booking or the performance of any Agreement.
10.4.5 By completing a purchase, the Customer acknowledges and agrees to Ravecation’s processing of personal data as described in this section.

11. Final Provisions

11.1 If any provision is found invalid, the remaining provisions remain in force.
11.2 These Terms & Conditions are governed exclusively by Dutch law.
11.3 In case of conflict between these Terms & Conditions and accommodation-specific terms, the latter prevail for accommodation-related matters.
11.4 Product-Specific Withdrawal Rights:

  • Bus & Camp tickets: Article 6.1 applies

  • Camping equipment: free cancellation up to 7 days before the event

  • Festival tickets: always non-refundable
