1. Definitions

For the purposes of these Terms & Conditions:

1.1 Ravecation
Ravecation V.O.F., a Dutch private partnership (vennootschap onder firma), providing travel, accommodation, camping, event-related and other services in connection with music festivals and events.

1.2 Customer
Any natural person or legal entity entering into an Agreement with Ravecation.

1.3 Agreement
The agreement between Ravecation and the Customer concerning one or more Services, established in accordance with Article 3.

1.4 Services
The services offered by Ravecation, including transport, accommodation, camping, camping equipment, event-related activities, and other services expressly included in the Customer's booking.

1.5 Festival
A music festival or other event organised by a third party.

1.6 Festival Organizer
The third party responsible for organising and operating the relevant Festival.

1.7 Festival Organizer Component
The part of the price attributable to a Festival Ticket or other product or service supplied, issued, or controlled by the Festival Organizer or another third party.

1.8 Ravecation Component
The part of the price attributable to services, arrangements, facilities, or other added value provided by Ravecation.

1.9 Festival Ticket
An admission ticket to a Festival issued or controlled by the Festival Organizer.

1.10 Bus & Camp Ticket
A Ravecation booking consisting of transport and accommodation, including camping where applicable, and excluding a Festival Ticket unless expressly stated otherwise in the booking confirmation.

1.11 Camping Equipment
Physical camping goods sold or provided by Ravecation, including tents, sleeping bags, sleeping mats, and related accessories.

1.12 Private Accommodation
Accommodation such as a private apartment, house, villa, or similar property reserved for the Customer or Customer's group.

1.13 Service and Transaction Costs
Fees charged in connection with the processing, administration, or transaction of a booking, as separately stated at the time of booking.

2. Applicability

2.1 These Terms & Conditions apply to all Agreements and Services provided by Ravecation, unless expressly agreed otherwise in writing.

2.2 The applicable product description, booking confirmation, and any specific conditions communicated to the Customer form part of the Agreement.

2.3 Where a specific product or service has additional terms, those terms apply to that product or service. In the event of a conflict, the specific terms prevail for the relevant product or service, unless mandatory law provides otherwise.

2.4 Where a booking includes services provided or controlled by a third party, the applicable terms of that third party may also apply to the relevant service.

2.5 Ravecation operates independently from the Festival Organizer unless Ravecation expressly states that it is an official partner, organiser, or representative of the Festival Organizer.

2.6 The cancellation, refund, compensation, liability, complaint, and privacy provisions contained in these Terms & Conditions apply subject to any mandatory rights the Customer has under Dutch or European law.

2.7 The Customer must be given a reasonable opportunity to review and retain these Terms & Conditions before or at the time the Agreement is concluded.

3. Booking and Formation of the Agreement

3.1 An Agreement is formed when the Customer submits a booking and Ravecation accepts the booking, or when Ravecation otherwise confirms the booking in writing.

3.2 A booking confirmation sent by Ravecation constitutes confirmation of the Services booked and the applicable price and conditions.

3.3 Once the Agreement has been concluded, the Customer is bound by the booking, subject to any applicable statutory cancellation or withdrawal rights and the cancellation provisions in these Terms & Conditions.

3.4 The Customer must provide accurate and complete information when making a booking. The Customer is responsible for any consequences resulting from incorrect or incomplete information.

3.5 The Customer must be at least 18 years old and legally competent to enter into the Agreement. Where a Customer books on behalf of other persons, the Customer confirms that they are authorised to do so and is responsible for communicating the applicable booking information and conditions to those persons.

3.6 The Customer must check the booking confirmation promptly after receipt and notify Ravecation of any apparent errors as soon as reasonably possible.

3.7 A correction of an error in a booking does not constitute a Customer-initiated modification where the error was caused by Ravecation.

3.8 For Private Accommodation, a security deposit may be required. The amount, payment method, and applicable conditions will be communicated before or at the time of booking.

3.9 Cancellation and modification rights depend on the specific Service booked and are governed by Article 6.

3.10 Where a Festival Ticket is included in a booking, the ticket remains subject to the terms and conditions of the Festival Organizer and the refund and compensation provisions of Article 6.

4. Prices and Payment

4.1 All prices are stated in euros (€) and include VAT where applicable, unless expressly stated otherwise.

4.2 The total price payable by the Customer, including any applicable Service and Transaction Costs, will be displayed or communicated before the Agreement is concluded.

4.3 Where a booking includes a Festival Ticket or other third-party service, the total price may consist of a Festival Organizer Component and a Ravecation Component. Where applicable, these components may be identified separately in the booking information.

4.4 Service and Transaction Costs are separate costs associated with processing and administering the booking. Unless otherwise expressly stated or required by mandatory law, these costs are non-refundable in the event of Customer-initiated cancellation or modification.

4.5 Where Ravecation cancels a Service for reasons attributable to Ravecation, applicable Service and Transaction Costs relating to the cancelled Service will be refunded in accordance with Article 6A.

4.6 Payment must be made using the payment method and by the deadline specified at the time of booking or in the booking confirmation.

4.7 Payments are processed through the applicable ticketing or payment provider, including Weeztix where applicable. Ravecation does not process or store the Customer's full payment or card details.

4.8 Where payment in instalments is offered, each instalment must be paid by the applicable deadline. Failure to pay an instalment may result in cancellation of the booking or other measures permitted under applicable law and these Terms & Conditions.

4.9 Ravecation will not cancel a booking solely because of a payment issue without first providing the Customer with a reasonable opportunity to remedy the payment default where required by applicable law.

4.10 For Private Accommodation, a security deposit may be charged separately from the booking price. The deposit is not part of the price of the Services and may be used to cover damage, excessive cleaning costs, missing items, or other costs for which the Customer is responsible, subject to applicable law and the accommodation conditions.

4.11 Camping Equipment must be paid for in accordance with the payment conditions stated at booking and is subject to the cancellation policy in Article 6.

5. Nature and Scope of Services

5.1 Services Provided by Ravecation

Ravecation provides and/or arranges the following Services:

  • Bus Transport — organised bus or other mode of transport to and/or from the relevant Festival or event;

  • Festival Accommodation — accommodation connected to a Festival, including:

    • Group camping at the official Festival camping grounds; and

    • Accommodation packages provided or arranged by the Festival Organizer;

  • Private Accommodation — private accommodation, such as apartments, houses, villas, hotels, or similar lodging, which is not provided by or affiliated with the Festival Organizer and which is provided, arranged, and/or serviced by Ravecation;

  • Camping Equipment — physical camping equipment sold or provided by Ravecation, including tents, sleeping bags, sleeping mats, and related equipment; and

  • Other Services — additional services or activities expressly included in the Customer's booking or offered by Ravecation.

5.2 Scope of the Booking

The specific Services included in a Customer's booking are determined by the applicable product description, booking information, and booking confirmation.

Services that are not expressly included in the booking are not part of the Agreement.

5.3 Festival Organizer Services

Where Festival Accommodation or another service is provided or controlled by the Festival Organizer, Ravecation may act as an intermediary or reseller for that service.

The applicable terms, conditions, rules, and requirements of the Festival Organizer may apply to such services.

5.4 Festival Tickets

Festival Tickets are only included in a booking where expressly stated.

Festival Tickets are issued and controlled by the Festival Organizer. Unless expressly stated otherwise, Ravecation acts as an intermediary in relation to Festival Tickets and does not control Festival admission, ticket validity, or Festival entry decisions.

Festival Tickets are subject to the refund and compensation provisions of Article 6A.

5.5 Bus Transport

Where Ravecation provides Bus Transport, the applicable departure location, departure time, destination, and other relevant information will be communicated to the Customer before or as part of the booking.

The Customer is responsible for arriving at the designated departure location on time and complying with reasonable instructions relating to the transport.

5.6 Festival Accommodation

Festival Accommodation may consist of group camping at the Festival's official camping grounds or accommodation packages provided or arranged by the Festival Organizer.

Where the Festival Organizer controls the accommodation, Ravecation is not responsible for matters outside its reasonable control, including changes to the accommodation, Festival camping rules, facilities, access conditions, or decisions made by the Festival Organizer.

5.7 Private Accommodation

Private Accommodation is accommodation that is not provided by or affiliated with the Festival Organizer and is provided, arranged, and/or serviced by Ravecation.

The Customer must comply with all applicable house rules, occupancy limits, local regulations, and reasonable instructions relating to the accommodation.

Where a security deposit applies, the amount and applicable conditions will be communicated to the Customer before or at the time of booking.

5.8 Camping Equipment

Camping Equipment is available for collection at the location and time specified by Ravecation, unless otherwise agreed.

The Customer must inspect the equipment upon collection and promptly report any visible damage or missing items.

The Customer is responsible for the equipment from the moment of collection until its return or disposal, where applicable, subject to Article 7.

5.9 Third-Party Services

Where any Service is provided, issued, or controlled by a third party, Ravecation's role and responsibility will depend on the nature of the Service and applicable law.

Third-party terms may apply to the relevant Service and will be communicated to the Customer where applicable.

5.10 Festival Cancellation or Changes

Cancellation, postponement, rescheduling, or material alteration of a Festival by the Festival Organizer does not automatically constitute a failure by Ravecation to perform its own Services.

The applicable refund and compensation arrangements are set out in Article 6A.

6. Refund Policy

6.1 General Refund Principles:

Refunds are subject to the product-specific cancellation and refund provisions set out in these Terms & Conditions. Where a booking contains multiple products or services, each product or service may be subject to its own cancellation and refund conditions.

Unless otherwise expressly stated in these Terms & Conditions, a refund will only be made in accordance with the applicable cancellation policy, the terms communicated to the Customer at the time of booking, or applicable mandatory law.

Where a Customer is entitled to a refund, the refund will be made to the original payment method used for the booking, unless otherwise agreed between Ravecation and the Customer.

6.2 Travel & Stay Services:

The following cancellation policy applies exclusively to Bus tickets and Camp tickets:

  • More than 45 days before the event: 100% refund minus €5.00 reservation costs;

  • Between 31 and 45 days before the event: 75% refund;

  • Between 15 and 30 days before the event: 50% refund;

  • Between 7 and 14 days before the event: 25% refund;

  • Less than 7 days before the event: No refund.

The applicable period is determined by the date on which Ravecation receives the Customer's written cancellation request.

6.3 Camping Equipment

Camping equipment may be cancelled free of charge up to 7 days before the applicable event. Cancellations made less than 7 days before the event are final and non-refundable. Where camping equipment has already been collected by the Customer, no refund will be provided, except where required by applicable mandatory law.

6.4 Festival Tickets

Festival tickets are issued and managed by the Festival Organizer. Ravecation acts solely as an intermediary in relation to such tickets, unless expressly stated otherwise in the booking confirmation.

Festival tickets are therefore non-refundable and non-cancellable through Ravecation, unless:

a. the Festival Organizer authorises or provides a refund;

b. Ravecation expressly agrees to provide a refund; or

c. a refund is required under applicable mandatory law.

Where Ravecation receives a refund from the Festival Organizer on behalf of the Customer, Ravecation will pass on the amount received that is attributable to the Customer's Festival Ticket, subject to any applicable transaction, administrative, or processing costs that are lawfully chargeable.

6.5 Cancellation or Rescheduling by the Festival Organizer

If a Festival is cancelled, postponed, rescheduled, or materially changed by the Festival Organizer, this does not, by itself, constitute a failure to perform Ravecation's services.

Where the booking price consists of a Festival Organizer Component (e.g. the festival ticket) and a Ravecation Component (e.g. transport, accommodation, camping, or other services), the Customer may be offered the following compensation options:

  • Ticket transfer: Keep the Festival Ticket for the next edition of the Festival at no additional cost, subject to availability and the conditions set by the Festival Organizer;

  • Ravecation Shop Credit: Transfer the value of the Festival Organizer Component, excluding service and transaction fees, to Ravecation Shop Credit. The Shop Credit may be used towards other Ravecation services or events and is valid for 5 years from the date of issue; or

  • Cash refund: Receive a refund to the original payment method of the refundable Festival Organizer Component of the ticket value, excluding service and transaction fees.

The Customer may select one of the above options within the period communicated by Ravecation. Once an option has been selected and processed, it cannot be changed unless otherwise agreed by Ravecation.

The Ravecation Component is not automatically refundable if Ravecation has performed, or remains able and willing to perform, its services. If the cancellation prevents Ravecation from providing a booked service, the refund for that service will be determined in accordance with these Terms & Conditions and applicable mandatory law.

6.6 Cancellation by Ravecation

If Ravecation cancels a service for reasons attributable to Ravecation, the Customer will receive a full refund of the affected booking, including any service and transaction costs paid for that service. Where only part of a booking is cancelled by Ravecation, the Customer will receive a full refund, including service and transaction costs, for the cancelled portion.

Where Ravecation is unable to provide a service due to force majeure or circumstances outside Ravecation's reasonable control, Article 6.3 applies.

6.7 Force Majeure

Where Ravecation is prevented from providing a service due to force majeure, Ravecation may offer an alternative arrangement, replacement service, credit, or refund, as appropriate and in accordance with applicable mandatory law.

The extent of any refund will depend on the services affected, services already performed, amounts that Ravecation is able to recover from third parties, and any applicable mandatory statutory rights.

6.8 Private Accommodation

Private accommodation bookings may be subject to additional cancellation and refund conditions imposed by the relevant accommodation provider. Where such conditions apply, they will be communicated to the Customer at or before booking and form part of the Agreement.

In the event of a conflict between these Terms & Conditions and the applicable accommodation-specific cancellation conditions, the accommodation-specific conditions shall prevail in relation to the accommodation component, subject always to applicable mandatory law.

6.9 Third-Party Services

Where a booking includes a service supplied, issued, or controlled by a third party, including a Festival Organizer, accommodation provider, transport provider, or other supplier, the refund conditions of that third party may apply to the relevant component of the booking.

Ravecation will not be required to refund amounts that it has not received back from the relevant third party where the Customer's entitlement to such amount depends on a refund being provided by that third party, except where Ravecation is legally responsible for providing such refund under applicable mandatory law.

6.10 No Double Refund

A Customer shall not be entitled to receive more than one refund for the same service or booking component.

Where a refund, credit, replacement ticket, alternative service, or other compensation has already been provided by the Festival Organizer, Ravecation, or another relevant supplier in respect of a particular component, the value of that remedy will be taken into account when determining any further refund.

6.11 Refund Processing

Where a refund is approved by Ravecation, Ravecation will process the refund within a reasonable period after the amount and Customer's entitlement have been confirmed.

Where the amount of the refund depends on a refund, reimbursement, or credit from a third-party provider, Ravecation may reasonably await confirmation or receipt of that amount before processing the corresponding refund to the Customer.

Any refund timing imposed by applicable mandatory law shall take precedence over this provision.

7. Customer Responsibilities

7.1 General Responsibilities

The Customer is responsible for:

  • Holding a valid Festival Ticket and any other documents required to access the Festival or use the Services;

  • Ensuring that all personal and travel documents required for the journey, including identification documents, visas, and other legally required documents, are valid and available;

  • Complying with all applicable laws, regulations, Festival rules, accommodation rules, transport rules, and reasonable instructions given by Ravecation or its service providers;

  • Providing Ravecation with accurate and complete information necessary to perform the Agreement; and

  • Arriving at the designated departure points and times communicated by Ravecation.

7.2 Festival Entry

Ravecation is not responsible for a Customer being refused entry to a Festival where the refusal results from circumstances attributable to the Customer, including:

  • An invalid, fraudulent, damaged, or improperly transferred Festival Ticket;

  • Failure to provide valid identification or other required documentation;

  • Failure to comply with Festival rules, safety requirements, or security procedures; or

  • Decisions made by the Festival Organizer, its security personnel, or other authorised personnel where such decisions are outside Ravecation's control.

7.3 Personal Belongings

The Customer is responsible for their personal belongings throughout the use of Ravecation's Services. Ravecation is not responsible for loss, theft, or damage to personal belongings, except where such liability cannot legally be excluded.

7.4 Damage to Accommodation

The Customer is responsible for any damage, loss, excessive cleaning costs, or other costs caused by the Customer or members of their group to private accommodation or its contents.

Where permitted by the applicable accommodation terms, such costs may be deducted from the security deposit or charged separately to the Customer.

7.5 Camping Equipment

The Customer is responsible for camping equipment from the moment of pickup until its return or disposal, where applicable.

The Customer must inspect the equipment upon pickup and immediately report any visible damage or missing items to Ravecation. Ravecation is not responsible for damage, loss, or defects arising after pickup where these are caused by the Customer or circumstances within the Customer's control.

8. Liability

8.1 Ravecation's Liability

Ravecation is liable for damage directly resulting from a failure by Ravecation to properly perform its contractual obligations, except where such failure is caused by circumstances for which Ravecation is not legally responsible.

8.2 Third-Party Services and Events

Ravecation is not responsible for the acts, omissions, cancellations, changes, delays, or failures of third parties where Ravecation has no control over those circumstances, including the Festival Organizer, accommodation providers, transport providers, or other third-party suppliers.

This includes, where applicable:

  • Cancellation, postponement, rescheduling, or material changes to a Festival;

  • Denial of Festival entry by the Festival Organizer or its authorised personnel;

  • Delays, cancellations, or disruptions caused by third-party transport providers; and

  • Changes to third-party services outside Ravecation's reasonable control.

Where Ravecation is legally responsible for a third-party service under applicable law, this provision does not limit that responsibility.

8.3 Personal Property

Ravecation is not liable for loss, theft, or damage to the Customer's personal belongings, unless such liability results from Ravecation's failure to exercise the level of care required by applicable law.

8.4 Indirect or Consequential Damage

To the extent permitted by applicable law, Ravecation is not liable for indirect or consequential losses, including loss of income, loss of enjoyment, missed opportunities, or additional costs resulting from the Customer's failure to use the Services.

This limitation does not apply where the damage results from intentional conduct or gross negligence by Ravecation or where liability cannot legally be excluded.

8.5 Customer's Own Risk

Participation in festivals, travel, camping, accommodation, and related activities involves inherent risks. The Customer participates at their own risk and is responsible for taking reasonable precautions appropriate to their circumstances.

Ravecation strongly recommends that Customers obtain appropriate travel, cancellation, medical, and personal belongings insurance where relevant.

8.6 Limitation of Liability

Where Ravecation is legally liable for damage, its liability will be limited to the amount payable under the applicable mandatory law and, where permitted, to the amount paid by the Customer for the specific Service giving rise to the liability.

9. Complaints

9.1 Complaints must be reported on-site where possible.
9.2 Formal complaints must be submitted in writing within 14 days after the event to support@ravecation.com.
9.3 All disputes are governed by Dutch law, with the competent court in Amsterdam.

9.1 Reporting Issues During the Service

The Customer must report any complaint or issue concerning Ravecation's Services to a Ravecation employee as soon as reasonably possible and, where possible, while the Service is being provided.

Ravecation will have a reasonable opportunity to investigate and, where possible, resolve the issue during the Service.

9.2 Formal Complaints

If a complaint cannot be resolved during the Service, or if the Customer becomes aware of the issue after the Service has ended, the Customer must submit the complaint in writing to support@ravecation.nl within 14 days after the relevant Service or event.

The complaint should include the Customer's name, booking reference, a description of the issue, the date and location of the incident, and any relevant supporting evidence.

9.3 Complaint Handling

Ravecation will review and respond to a properly submitted complaint within a reasonable period.

The submission of a complaint does not automatically entitle the Customer to a refund or compensation. Any refund or compensation will be determined in accordance with these Terms & Conditions and applicable mandatory law.

9.4 Failure to Report During the Service

Where the Customer fails to report an issue during the Service despite having a reasonable opportunity to do so, Ravecation may take this into account when assessing the complaint, particularly where the issue could reasonably have been prevented, remedied, or reduced had it been reported in a timely manner.

9.5 Disputes and Applicable Law

These Terms & Conditions and the Agreement are governed by Dutch law.

Where a complaint cannot be resolved amicably, the dispute may be submitted to the competent court in accordance with applicable Dutch procedural and consumer protection law.

10. Privacy and Personal Data

10.1 Data Controller

Ravecation V.O.F., Netherlands (“Ravecation”), is responsible for the processing of personal data in connection with its Services.

For privacy-related questions or requests, the Customer may contact legal@ravecation.nl.

10.2 Personal Data

Depending on the Customer's interaction with Ravecation, Ravecation may collect and process personal information including name, email address, telephone number, date of birth, address, country/nationality, booking and order information, and photographs or videos taken during Ravecation events.

Ravecation may receive information through services including Weeztix, Squarespace Forms, Google Forms, MailerLite, and WhatsApp, and may store or manage information using Excel and HubSpot.

Ravecation does not process or store payment or card details; payments are processed through Weeztix and its payment providers.

10.3 Use of Personal Data

Personal data may be used to:

  • Process and administer bookings and Services;

  • Communicate with Customers and provide customer support;

  • Comply with legal and administrative obligations;

  • Send newsletters, event announcements and promotional communications;

  • Analyse and segment Customers for relevant marketing; and

  • Create advertising audiences through platforms such as Meta and Google, where permitted by applicable law.

Ravecation processes personal data only where a lawful basis exists under applicable data protection law.

10.4 Marketing

Customers who purchase a service or submit their information through a Ravecation form may be added to Ravecation's mailing list, subject to applicable law. Marketing emails contain an unsubscribe option, and Customers may opt out of marketing communications at any time.

Opting out of marketing does not affect essential communications relating to an existing booking or Service.

10.5 Sharing and Third Parties

Ravecation does not sell Customer personal data. Personal data may be shared with service providers where necessary to provide the Services, operate Ravecation's business, or comply with legal obligations.

Customer information may be provided to Festival Organizers where required by law or necessary for the provision of a relevant Service.

Some service providers may process personal data outside the European Economic Area. Where required, Ravecation will use legally recognised safeguards for such transfers.

10.6 Data Retention and Customer Rights

Ravecation retains personal data only for as long as reasonably necessary or legally required.

Subject to applicable law, Customers may request access, correction, deletion, restriction, portability, or objection to the processing of their personal data, and may withdraw consent where applicable.

Requests may be submitted to legal@ravecation.nl.

10.7 Further Information

Further information regarding Ravecation's collection, use, retention, protection, international transfers, marketing, data breaches, and Customer rights is available in the Ravecation Privacy Policy.

The Privacy Policy forms an integral part of these Terms & Conditions.

11. Final Provisions

11.1 If any provision is found invalid, the remaining provisions remain in force.
11.2 These Terms & Conditions are governed exclusively by Dutch law.
11.3 In case of conflict between these Terms & Conditions and accommodation-specific terms, the latter prevail for accommodation-related matters.
11.4 Product-Specific Withdrawal Rights:

  • Bus & Camp tickets: Article 6.1 applies

  • Camping equipment: free cancellation up to 7 days before the event

  • Festival tickets: always non-refundable

11. Final Provisions

11.1 Applicable Law

These Terms & Conditions and all Agreements between Ravecation and the Customer are governed by Dutch law, unless mandatory applicable law provides otherwise.

11.2 Consumer Rights

Nothing in these Terms & Conditions is intended to exclude or restrict any rights of the Customer that cannot legally be excluded or restricted under applicable Dutch or European consumer protection law.

11.3 Amendments

Ravecation may amend these Terms & Conditions where reasonably necessary, including due to changes in its Services, business operations, or applicable legislation.

The version applicable to a booking is the version in effect at the time the Agreement is concluded, unless a subsequent amendment is required by law or expressly agreed with the Customer.

11.4 Severability

If any provision of these Terms & Conditions is found to be invalid, unlawful, or unenforceable, the remaining provisions will remain in full force and effect.

The invalid or unenforceable provision will be replaced or interpreted, to the extent legally permitted, in a manner that most closely reflects its original purpose.

11.5 Complaints and Disputes

Customers are encouraged to first attempt to resolve any dispute directly with Ravecation in accordance with Article 9.

Where a dispute cannot be resolved amicably, it may be submitted to the competent court in accordance with applicable Dutch procedural and consumer protection law.

Nothing in these Terms & Conditions prevents a Customer from exercising any mandatory right to bring proceedings before a court that has jurisdiction under applicable law.

11.6 Privacy Policy

Ravecation's processing of personal data is governed by Article 10 of these Terms & Conditions and the Ravecation Privacy Policy, available in the Ravecation Privacy Policy.

The Privacy Policy provides additional information regarding the collection, use, retention, protection, and processing of Customer personal data.

11.7 Contact

For general questions regarding these Terms & Conditions or the Services, Customers may contact Ravecation through the contact details provided on the Ravecation website.

For privacy and GDPR-related requests, Customers should contact legal@ravecation.nl.
