1. Definitions

1.1 Ravecation: The private partnership (V.O.F.) registered in the Netherlands, offering optional travel and accommodation packages for music festivals.
1.2 Customer: Any natural or legal person who books services with Ravecation.
1.3 Agreement: The binding contract between Ravecation and the Customer regarding the booked services.
1.4 Services: Travel and accommodation offered by Ravecation in connection with festivals.
1.5 Festival: A music festival organized by a third party.
1.6 Festival Organizer: The official party responsible for organizing the festival.
1.7 Private Accommodation: Lodging options such as private apartments, houses, or villas, which are exclusively reserved for the Customer or their group.
1.8 Camping Equipment: Physical goods sold by Ravecation, including tents, sleeping bags, mats, and related accessories, available for pickup at the bus departure location.

2. Applicability

2.1 These Terms & Conditions apply to all services provided by Ravecation.
2.2 Ravecation acts as an independent third party and provides additional options that are separate from the official festival transport and accommodation.
2.3 By making a booking, the Customer acknowledges that these services are independent of those offered by the Festival Organizer.
2.4 For bookings that include private accommodations, specific house rules or policies provided by the accommodation owner may apply. These rules form part of the Agreement.

3. Booking and Agreement

3.1 An Agreement is established once the Customer completes a booking through the website or receives written confirmation.
3.2 All bookings are binding.
3.3 The Customer must be at least 18 years old and legally competent.
3.4 Confirmation will be sent by email. Any errors must be reported within 48 hours.
3.5 For private accommodation bookings, a security deposit may be required. The amount and payment method will be specified at the time of booking.
3.6 Camping equipment purchases are binding but may be cancelled free of charge up to 7 days before the event. After this period, no refunds or cancellations will be accepted.

4. Prices and Payment

4.1 All prices are stated in euros (€) and include VAT, unless otherwise indicated.
4.2 Payment may be made in installments or in full in advance. The final payment deadline will be specified at the time of booking.
4.3 Late payment may result in cancellation of the booking, with applicable cancellation fees as set out in Article 6.
4.4 For private accommodations, Ravecation or the accommodation provider may withhold part or all of the security deposit in cases of damage, excessive cleaning costs, or breach of house rules.
4.5 Camping equipment must be paid in full prior to pickup. If cancelled more than 7 days before the event, the Customer will receive a full refund. No refunds will be provided for cancellations made within 7 days of the event.

5. Nature of Services

5.1 Ravecation provides the following services:

  • Transport (bus, shuttle)

  • Accommodation (hostel, hotel, group camping, private accommodation)

  • Camping equipment (tents, sleeping gear, and accessories)

5.2 Ravecation is not an official partner of any festival, unless explicitly stated otherwise.
5.3 Festival tickets are only included if explicitly mentioned in the booking.
5.4 The Customer is responsible for obtaining a valid festival ticket unless otherwise agreed.
5.5 For private accommodations, Ravecation acts as an intermediary between the Customer and the accommodation provider. The Customer must comply with all local laws and accommodation-specific rules.
5.6 Camping equipment is only available for pickup at the designated bus departure location specified in the booking confirmation. Ravecation does not offer shipping or delivery services.
5.7 The Customer is responsible for inspecting camping equipment upon pickup. Once collected, Ravecation accepts no liability for damage, loss, or defects.

6. Cancellation and Modification

6.1 The Customer may cancel their booking under the following conditions:

  • More than 45 days before the event: 100% refund, minus a fix amount (€5,00) to cover the reservation costs

  • Between 31 and 45 days before the event: 75% refund

  • Between 15 and 30 days before the event: 50% refund

  • Between 7 and 14 days before the event: 30% refund

  • Between 1 and 7 days before the event: 15% refund

  • Less than 24 hours before the event: No refund

6.2 Cancellations must be submitted in writing via email.
6.3 If Ravecation cancels due to force majeure, an alternative arrangement or refund will be provided in accordance with consumer law.
If the festival itself is cancelled or rescheduled, Ravecation is not responsible for any resulting loss or costs. Customers must contact the Festival Organizer directly.

6.5 For private accommodations, additional cancellation terms from the accommodation provider may apply, which will be communicated at the time of booking.
6.6 Camping equipment purchases can be cancelled free of charge up to 7 days before the event. After this point, the order becomes final and non-refundable.

7. Customer Responsibilities

7.1 The Customer is responsible for:

  • Holding a valid festival ticket

  • Possessing valid travel documents

  • Complying with applicable laws and regulations

7.2 Ravecation is not liable if entry to the festival is denied due to:

  • Invalid or improperly transferred tickets

  • Issues with identification documents

  • Safety or security reasons

  • Breaches of festival rules or regulations

7.3 Ravecation is not liable for theft of or damage to the Customer’s personal belongings.
7.4 The Customer is liable for any damages caused to private accommodation property or its contents during their stay.
7.5 The Customer is fully responsible for any damage, loss, or misuse of camping equipment after pickup.

8. Liability

8.1 Ravecation accepts no liability for:

  • Cancellations or changes made by the Festival Organizer

  • Transport issues caused by third-party providers

  • Denial of entry to the festival (as outlined in Article 7.2)

  • Damage to or loss of property

  • Indirect damages, except in cases of gross negligence

8.2 Participation in services is at the Customer’s own risk. Customers are strongly advised to take out cancellation and travel insurance.

9. Complaints

9.1 Complaints must first be reported on-site to allow immediate resolution.
9.2 Formal complaints must be submitted in writing within 14 days after the event to: support@ravecation.com.
9.3 All disputes are governed by Dutch law, with the competent court in Amsterdam.

10. Privacy

10.1 Ravecation processes personal data in accordance with the General Data Protection Regulation (GDPR).
10.2 Personal data will only be used for communication, bookings, and emergency purposes.
10.3 For private accommodations, relevant guest information (such as name, contact details, and ID verification) may be shared with the accommodation provider solely for the purpose of fulfilling the booking.

11. Final Provisions

11.1 If any provision of these Terms & Conditions is found to be invalid, the remaining provisions shall remain fully in effect.
11.2 These Terms & Conditions are governed exclusively by Dutch law.
11.3 In case of conflict between these Terms & Conditions and accommodation-specific terms, the latter shall prevail for matters directly related to the private accommodation stay.
11.4 Camping equipment sales are considered retail purchases that may be cancelled up to 7 days before the event without penalty, after which they are excluded from any right of withdrawal or refund.
